When a tracking number is added to the header information of the LOR, the system can automatically populate the tracking number field in the individual inventory records created upon receiving those items. This automatic propagation saves time and ensures accurate association of tracking information with the physical inventory, simplifying trace-back and delivery confirmation.

Quickly select from a list of predefined clauses on the LOR header and individual items without searching through documents or relying on manual entry. The LOR interface distinguishes between a general "items" view (representing the ordered or expected items) and a detailed "stock" view (representing the individual inventory records created upon receiving). For serialized parts, a single line in the "items" view can expand into multiple entries in the "stock" view, each with its unique identifier – a level of detail often cumbersome to manage in older systems.

For a single ordered item with a quantity greater than one that is serialized, the "items" tab shows one line, while the "stock" tab expands this into multiple individual inventory lines, each representing a unique serialized unit. This clear distinction in the LOR is crucial for blazing fast receiving of serialized aviation parts – a level of efficiency unheard of in older, less intuitive systems.

Items on a LOR can be marked as "ready to receive" individually. The "Receive" button then only processes those items marked as ready, allowing for partial receipts against a single LOR. This feature enables receiving teams to process items as they are physically verified or available, without holding up the entire LOR. This is particularly useful where parts might arrive in batches or require individual inspection before formal receipt – a level of flexibility often missing in older, more rigid systems.

The LOR application can also be used to manage RMAs (Return Material Authorizations), allowing for the creation of LORs specifically for receiving returned customer property. These can be flagged as "RMA type orders" and "customer property." The system also allows for internal notes and the association of documents like return authorizations.

Legacy systems often handle RMAs in a separate, disconnected module. Integrating RMA receiving within the LOR system provides a more unified view of all inbound material flow. Providing shipping details on your LORs is essential. Even the export details such as INCO terms and ECCN characteristics. These are all part of the negotiated contract the original order represents. Vista-Suite Enterprise puts all of this at your fingertips in easy-to-understand ways.

Every line item is capable of displaying crucial information on the LOR, such as tag/certificate number, tag date, tagged by, traceability, and serial number. These details can be automatically populated based on the originating transaction record to minimize data entry, separate communication, or immediate documentation sharing.

Unlike other systems that limit alternates to a single predefined item, Vista-Suite Enterprise allows for greater flexibility in specifying alternate parts. Users can select alternates from a predefined list of linked part numbers or choose from the entire master parts catalog, ensuring more options when creating LORs. Exchange LORs can include the core return by date, replacement charge, exchange note, and a list of different part numbers as core options. Exchange line items are clearly detailed as cost plus or flat rate and show applicable core costs.

The Vista-Suite Enterprise LOR application enhances visibility of import and export information during the receiving process by prominently displaying Part Number, Manufacturer, Country of Origin, ECCN, Schedule B, and HTS Code. Upon goods receipt, a QA Inspection form can be generated to clearly identify critical export classification details, including HTS Code and Origin. This document can also include sign-off capability, embedded QR codes, product images, linked notes, and part-specific icons to highlight hazmat or serialized status.

Quality inspections are made easy by embedding relevant order instructions and compliance information directly into the QA document, eliminating the need for users to search separately for related transactions. A powerful feature available throughout Vista-Suite Enterprise is the capability of unique user-defined fields (UDFs). You can create as many UDFs as you need to track data elements, from notes to selection lists, currency, numbers, or even dates. UDFs are presented in a spreadsheet-like fashion, which promotes fast data entry, and the fields can be pulled into reports for powerful data analytics. Colored tabs quickly identify UDF values being filled in partially, entirely, or not at all.

Transaction numbering is critical. Numbering can be used to separate transactions for different departments, products or services, and other valuable purposes.
